Screen 3 — Payroll item routing

Your export has three hour columns. QuickBooks has seven pay categories.

Four of the seven cannot be filled from that file, however good the upload is — the file carries RT, OT and DT and no night flag. This is where the gap gets closed: one punch comes in, the payroll lines it should become go out.

Why

Standard hours are 5:00 AM - 5:30 PM. This punch starts at 1:00:05 AM, so 4.000 of its 6.000 hours fall outside them and 2.000 falls inside. Your export has one hours column and no night flag, so nothing in the file could have made this split.

The decision

You asked whether the upload can add the extra dollar. It cannot put a rate on a timesheet line — but it can post a second line, and that gets you to the same paycheck.

Both plans below pay your 15 technicians exactly what the contract says. They differ in how many numbers you have to keep correct for the next four years.

Overtime and double time tiers exist because your method bumps the base before the multiplier, so (base + $1.00) × 1.5 comes to base × 1.5 + $1.50. Same arithmetic, six fixed numbers.

Worth knowing before you decide

A second line means the hours count twice in QuickBooks job reports — 8 regular plus 8 premium reads as 16 hours on that job. The dollars on the paycheck are right. The hours in the report are not.

That is what screen 5 is for. It counts labor from the reviewed punches, before any of this reaches QuickBooks.
